Information in the register
The paid Transport Manager lookup is a private public-record research service using publicly available information, including government data and APIs. Its records may include Transport Manager names, operator names, licence information, appointment context and links to published profiles. It is not an official DVSA register. Before a credit is used, the service returns only masked name and operator cues; full source identifiers are not sent to the browser.
We process this professional information because of our legitimate interests in providing a public-record research and verification service. We balance those interests against the rights of the people named, use masking and access controls, and provide correction, objection, restriction and removal routes.
Information about visitors and customers
We may process search requests, an opaque browser-wallet identifier, credit balance and ledger events, checkout and receipt references, payment status, consent evidence, email address used for receipts or recovery, security and rate-limit identifiers, and information submitted through contact, claim, correction or rights forms. We do not store full payment-card details.
We use this information to provide searches and credits, prevent misuse, recover wallets, send transactional messages, answer enquiries, handle data-rights requests, keep financial records and protect the service. The usual legal bases are performance of a contract, legitimate interests in operating and securing the service, and compliance with legal obligations. Where a different basis is required, we will explain it at the point of collection.
Cookies
The Transport Manager lookup uses a necessary secure, HttpOnly, SameSite browser cookie containing an opaque wallet identifier. It lets the service recognise the browser balance without exposing payment or register details in the cookie. Unused anonymous wallets are eligible for deletion after 90 days. Purchased wallets and related financial records are retained for the periods described below.
Who receives information
We use Stripe to host checkout and process payments, Brevo to send transactional email, and hosting, security and technical suppliers needed to operate the website. These suppliers process information to provide their services to us. Some suppliers, including Stripe, may also process information for their own legal, security and fraud-prevention purposes under their own privacy terms.
Customers who use a credit can view the matched Transport Manager record they have opened. We do not sell the records in bulk or provide personal information as a marketing list.
Some suppliers may process data outside the United Kingdom. Where that occurs, we require an appropriate transfer mechanism and safeguards recognised by UK data protection law.
How long we keep information
We keep information only for as long as needed for the purpose, legal requirements and disputes. Expired security tokens and checkout links are deleted or minimised; unused anonymous wallets are eligible for deletion after 90 days; purchased wallet data is kept while credits remain because purchased credits do not expire; sent transactional email bodies and completed recovery material are minimised after 90 days; resolved ordinary enquiries and claims are minimised after 24 months; and resolved rights cases after three years. Purchase, consent and accounting records may be retained until six years after the end of the relevant financial year. A legal or fraud-prevention hold may extend a period where necessary.
Security
We use measures including encryption for sensitive stored fields, hashed identifiers, authenticated short-lived selection tokens, secure cookies, access controls, rate limits and data minimisation. No internet service can guarantee absolute security.
Your rights and record corrections
Depending on the circumstances, you may have rights to be informed, access your personal information, correct inaccurate information, erase it, restrict its use, object to processing, and complain to the Information Commissioner’s Office. These rights are not absolute and we may need to retain some information where the law permits or requires it. You can exercise any of these rights by emailing info@operatorlicencecheck.co.uk.
You have the right to object to processing based on our legitimate interests. Email info@operatorlicencecheck.co.uk with the record and reason for your objection, or use our correction and removal form.
A Transport Manager can ask us to add their record or change information we hold by email or through that form. At first contact, include which record is concerned and the change you want. We may ask for proportionate identity, authority or supporting evidence only if reasonably needed to verify the request or prevent a fraudulent change. Changes here do not amend an official DVSA or government record.
